Job Description

Key Function and Purpose of Position: The scheduling coordinator’s primary role is to establish appointment date and time from patient to schedule and determine the correct flow/path depending on the encounter type (Sync, Async, etc.). As such this the scheduling coordinator will be responsible for reviewing patient information from auto-intake process to define the correct scheduling path, communicating with the patient using Helix Virtual Medicine’s platform technological tools to schedule an appointment and schedule patients on the EMR system. The Scheduling Coordinator will be responsible of always knowing Provider availability and have up-to-date information of Provider licensing status to ensure accurate scheduling. The scheduling coordinator will be responsible for any rescheduling, follow up appointments or no-show appointments from the patients. Responsibilities: 1. Completes and receives schedule requests and schedules appropriate appointment 2. Revises schedules as cancellations and/or reschedules occur to ensure schedule is maximized daily 3. Communicates with patients effectively using the tools provided to schedule an appointment 4. Communicating with patients effectively to ensure patient understands the process 5. Understand the various products offered and schedules patients accordingly 6. Understands the different scheduling paths for a patient and fulfills the appointments accurately 7. Inputs basic demographic information into the EMR system 8. Communicate effectively regarding actual and potential scheduled appointments with patients 9. Assist in development and implementation methods to assure that all appointments are accurately recorded 10. Understand how to route patient inquiries between the different departments 11. Provide superior customer service to all patients 12. Performs any other duties as might be required to carry out the job of developing and growing new business and maintaining existing lines of business 13. Performs other job-related activities as they are needed to achieve the purpose of the job 14. Aids other departments on incidental duties 15. Assists and covers other positions when necessary to maintain high productivity and efficiency in the department Required Skills, Knowledge, and Abilities: 1. Flexible schedule 2. Superior customer service skills 3. Strong conflict-resolution skills with an emphasis on de-escalation strategies 4. Ability to effectively work with others to achieve goals 5. Accepts constructive criticism and applies to tasks provided 6. Excellent verbal, listening and written communication skills 7. Takes initiative in the day-to-day responsibilities 8. Outstanding ability to implement innovative solutions to problems at a moment’s notice 9. Excellent computer skills, including Microsoft Office and scheduling software 10. Knowledge of medical terminology preferred 11. Ability to hand multiple priorities simultaneously Education: 1. High School Diploma or equivalent Experience: 1. Minimum of one (1) year of experience working with eClinical Works preferred 2. Minimum of two (2) years of customer service experience, preferably in healthcare 3. Paid Time Off Available shifts and compensation: We have available shifts all days of the week. Compensation is $16.00 - $17.00/hour.
