The Role
The Executive Assistant will proactively develop and deliver a comprehensive organisational, administrative and management support service to the CEO and Executive Director of People and Organisation Development. The role will oversee the smooth running of the CEO office and support in the preparation of all meetings, visitors and tasks as directed. The Executive Assistant will also support the good functioning of the Board of Trustees in all related matters and be an excellent communicator, managing the Board cycle and be familiar with working at a Project Management level (PMO).
Main Responsibilities: (but not limited to)
  • Act as the first point of contact for the CEO, both internally and externally, dealing with all routine enquiries and escalating areas of concern to the CEO and/or the executive directors and represent the CEO’s views accurately when feeding back to others.
  • To support and assist the CEO in order to ensure timely delivery of key projects to high standards.
  • Daily management and triaging of the CEO’s incoming emails and prioritising and organising these, drafting responses to enquiries on behalf of the CEO as appropriate.
  • Anticipate needs, act accordingly, and proactively bring together appropriate people and resources to support the CEO and Exec Director of People & OD in addressing issues.
  • Undertake special projects for the CEO Office by developing meaningful project plans, reports providing regular feedback to project sponsors and ensuring timely delivery of actions throughout the project duration as required.
  • Be the main point of contact between the trustees and the ELT and supporting the Board by liaising with various departments within the Trust
  • Support the CEO and Exec Director in all Human Resource tasks including, but not limited to: contracts, recruitment, induction, correspondence, performance management and maintaining electronic personnel records for the CEO’s direct reports.
About You
  • Previous experience of providing executive assistant support to CEO and/or Executive Directors
  • Experience of organising and managing corporate events and working knowledge and experience of co-ordinating multiple projects.
  • Understanding of the social care sector and the challenges faced.
  • Strong IT skills including the ability to open and send emails using Outlook, the ability to use Microsoft 365 and the ability to navigate the internet.
  • Valid UK Driving licence.
  • Ability/willingness to travel and stay overnight, as required.
  • Demonstrate flexibility with respect to working hours and location to ensure the successful delivery of projects
