Job Description

We're looking for a Receptionist to join the Office Operations team in our London office, to seamlessly manage our Front of House operations and to provide additional administrative support to the wider team. The successful candidate will work closely with our existing Office Operations team in the execution of a best-in-class experience for our current employees, new joiners and frequent office visitors. This role will work on a shift pattern of either 8am-5pm or 9am-6pm.

What you'll do:

As an integral part of our Office Operations team, your primary responsibility will be to look after the Front of House operations in our expanding London office. We're looking for someone to really make this role their own, to get involved in initiatives within the wider team and to drive the development and implementation of procedures. In particular, you will work closely with our Office and Facilities Manager on a wide range of office operations duties and with our Executive Assistant on travel coordination.

Front of House

  • Maintain the reception area, ensuring it is ready for guest arrival
  • Meet and greet all guests and preparing welcome gifts when required
  • Managing the visitor platform Envoy
  • Managing access passes for all visitors and contractors
  • Providing a handover for security when required
  • Managing the reception calendar and office inbox
  • Managing the visitor process for all interoffice visits
  • Switchboard

Other Duties Include:

  • Responsible for booking and managing all employee travel
  • Office Ops new joiner onboarding
  • Organising the weekly massage clinic and annual flu vaccination clinic
  • Managing post, deliveries and couriers
  • Keeping the internal Reception wiki up to date
  • Ordering office stock
  • Assisting with team overflow and holiday cover
  • Ordering staff gifts
  • Ordering business cards
  • Managing the office library

Who you are:

  • 1 year+ prior reception/administrative experience, in a similar environment would be advantageous
