Job Description

Location: Flexibly remote from one of our UK hubs (London, Bristol, Edinburgh, Harrogate, Manchester or Oxford)

Key Responsibilities

These include,

Project Manager Support:

  • Weekly update of the teams’ project tracking system with latest reports from NetSuite.
  • Keeping the Practice Leads up to date on project and business development progress across the Practices and provide weekly updates reports.
  • Supporting the teams with the internal month end processes and being a point of contact to support project managers forecast and reforecast project progress.
  • Assist with devising and implementing systems and processes to help manage and deliver the work of the team.
  • Managing the team SharePoint site and sub-sites, ensuring it is tidy and organised and updated.
  • Uploading proposals and documents to SharePoint.
  • Managing licences and renewals for software.
  • Managing and maintaining team templates, fixing formatting errors on reports and spreadsheets.
  • Assist with quality management and compliance activities, including process audits.
  • Organisation and booking of team events such as socials and volunteering days.

Team resourcing:

  • Working closely with the team to understand their relevant skillsets.
  • Engaging with the team and wider business to manage availability, track project progress and book project time.
  • Tracking new requirements for resource and identifying potential issues.
  • Reporting any issues to Practice lead.

Summary of Role

Anthesis’ Sustainable Production & Consumption and Supply Chain Practices operate across the private, not for profit, and public sectors with a focus on the full product life cycle from raw materials to consumption and end of life waste-to-value models. The Practices are made up of seven service areas; Sustainable Packaging, Environmental Management Systems, Sustainable Chemistry, Waste and Resource Recovery, Supply Chain and AgriFood. These different teams work closely and collaboratively and most team members use their skills to service clients and offerings across the Practices.

We are seeking a Team Administrator to start with immediate effect to support the efficient and effective running of the different teams, provide project and reporting administration support to project managers and Service leads via our CRM system (currently NetSuite) and file management system (currently SharePoint). As well as, working closely with the Practice Lead to provide, among other tasks, updates on team and project performance and identifying opportunities for ways to improvement the Practice administrative tasks and project management process.

Relevant experience required:

  • Approximately 1 years’ experience in a similar role

Knowledge/expertise required:

  • Knowledge and experience of NetSuite / similar CRM system, or ability to learn quickly
  • Proficient user of Microsoft Office Suite, including Word, Excel, PowerPoint etc, as well as familiarity with MS Teams

Skills/competencies required:

  • Attention to detail.
  • Exceptional organisational and time management skills.
  • Outstanding verbal and written communication skills.
  • Basic knowledge of accounting and project management procedures and metrics.
  • Proven experience in a related role.
  • Excellent problem-solving skills, the ability to research and an aptitude for helping other people.
  • Detail oriented and can work to high degrees of accuracy.
  • Excellent written and oral communication skills.
  • Positive, professional and diligent work ethic.
  • Ability to meet deadlines and manage multiple tasks simultaneously.
